Scheduled maintenance

Maintenance in the sidebar is the one place servicing lives — batteries, electrical test & tag, and any other recurring job you define. (The old Battery service page redirects here; battery is now a filter on this board.)

Where the schedule comes from

Under Settings → Compliance each rule ties a toy property to an obligation. Give a rule an interval and it becomes a schedule: a matching copy is due when nothing has been recorded for it, and overdue once the last completion is older than the interval. Recording a completion restarts the interval.

Two rules match slightly differently:

  • a battery check covers every copy whose catalogue record lists battery types (as well as copies carrying the rule's property) — so it behaves exactly like the old battery worklist;
  • every other obligation matches copies whose catalogue record asserts the rule's property, including the parts of a bundle.

Working the board

Due now lists what is overdue, grouped by storage location so you can walk one shelf and service everything on it. Filter by obligation, location, or whether the copy is out. Tick what you've done and use Mark N done to record today's date on all of them at once. Copies that are out on loan can't be serviced now — they're marked "service on return" and can't be selected. In maintenance shows copies currently out of service with their open tickets, and My repairs is your own assigned list.

Blocking and automatic tickets

Each interval rule has two optional switches, both off by default:

  • Block lending when overdue — the desk refuses an overdue copy. It is not an absolute block: staff with the override permission can still lend it by giving a reason, exactly like a copy missing a critical piece.
  • Open a repair ticket automatically — overnight, one ticket per overdue copy (never more than one open at a time for the same job). Resolving that ticket records the maintenance as done, which restarts the interval; cancelling it doesn't.

Assign a repair to someone from the toy's Repairs section and they'll get an email; the job then shows under My repairs. Completions can carry a cost and an attachment — the test-and-tag certificate or inspection report — and they show on the toy's own page under Maintenance history, which is what you hand an insurer or a grant acquittal.
