Toy library software for Australia & New Zealand

The friendly home for your toy library

ToyHive runs the loans desk, members, payments, and catalogue — built by a toy library volunteer so that processing a loan takes seconds, on nothing fancier than the phone in your pocket.

Why ToyHive

Software that treats volunteer time as precious

Every hour a committee member spends wrestling admin software is an hour not spent with members. ToyHive is designed for the volunteer who is barely comfortable with a smartphone: plain English, guided workflows, and nothing standing between a member and their next toy.

Your phone is the scanner

No cables, no dedicated hardware. Volunteers scan toy and member QR codes with the phone camera — a loan takes a few taps, anywhere in the room.

AI does the data entry

Scan the barcode on the box and ToyHive fills in the name, age range, piece count, warnings, and description. Adding a toy takes seconds, not twenty minutes.

One shared catalogue

Every ToyHive library contributes to the same toy database. When one library adds or fixes a toy, every library benefits — the work is only ever done once.

Memberships run themselves

Members join, renew, and pay online, with automatic receipts and reminders. No committee member chasing renewals at the desk.

The hive

Add a toy once. Every library benefits.

ToyHive libraries build one shared catalogue together, the way a hive builds honeycomb. The first library to add a new toy does the work once — every library that follows gets the record for free, photos and piece list included. The catalogue is public, so you can explore it right now.

One catalogue, built by every library

LEGO sets

Piece lists and counts ready for missing-piece checks at return time.

Ride-ons

Safety warnings and helmet-waiver prompts appear right at loan time.

Puzzles

Age ranges and piece counts filled in from a single barcode scan.

Party packs

Bundles with per-piece manifests, so returns stay quick and complete.

Your history comes with you

Switching software is the scary part, so migration is guided from day one: members, toys, loan history, and finances imported from SeTLS or MiBase — and for early libraries, we work through the move alongside you.

Questions

The things committees ask first

Straight answers to the usual blockers. Missed yours? Ask us directly.

Can we migrate from SeTLS or MiBase?

Yes — that is the main road in. ToyHive imports members, toys, loan history, and financial records from both systems, and early libraries get hands-on help through the whole move. Your history comes with you.

Do volunteers need special scanners or hardware?

No. The phone already in your volunteer’s pocket is the scanner. QR and barcode scanning run in the browser using the phone camera — nothing to install, nothing to buy.

Can members pay online?

Yes. Members can join, renew, and pay fees online, with automatic receipts and opt-in auto-renewal. Cash and EFTPOS at the desk still work for libraries that want them.

Is the toy catalogue public?

The shared catalogue is public — anyone can browse toys, photos, and piece lists. Your library’s data stays private: which library holds a toy is only shown if that library opts in, and member data is never shared.

We’re a tiny volunteer committee. Will this be hard to run?

ToyHive is designed for non-technical volunteers: plain English, guided setup, big buttons, and sensible defaults. A new library should be operational within an hour of signing up.

Bring your library into the hive

Start a trial library in minutes, or poke around the demo first. Either way, your volunteers get their Saturday mornings back.
