Printing labels & sponsors

Print shelf stickers, bag/hire labels and box labels from Inventory → Print labels (select toys first, or print the whole collection). Pick a label type and a size preset (A4 sticker sheets or label-printer rolls).

What's always on a label

The toy's ID and name, the scan code, the piece checklist on bag labels — and the safety-warning graphics. Warnings always print and can't be turned off; the mandatory small-parts choking warning and the button-battery warning get a bordered, official-style box on bag labels.

QR, barcode, or both

By default a label carries a QR code, which a phone camera and any modern 2D scanner read. Leave it that way unless your scanner can't cope.

How do I know which scanner I have? Point it at a QR code. If it reads it, you have a 2D imager — leave this setting off and stay QR-only. If it won't (typically an older laser scanner, the kind that shows a red line), tick Our desk scanner only reads 1D barcodes under Settings → Toys, and labels then carry both: the QR and a Code 128 barcode underneath.

Both, deliberately: if you later change scanners, or a volunteer uses their phone while the desk scanner is busy, a label with both still works. Reprinting a whole collection because the scanner changed is the thing worth avoiding.

The barcode encodes the toy's own Library barcode if you filled that field in, otherwise the toy ID printed beside it — either way the desk finds the toy. (Settings → Printed labels can force QR-only for a specific label type if you really want it.)

Optional extras

Labels are small, so everything else is off until you turn it on under Settings → Printed labels (you can also override per print run):

  • Library logo — your uploaded logo on the bag-label header (a ToyHive mark stands in if you haven't uploaded one).
  • Instruction-manual QR — a second, smaller "Scan for instructions" code when the catalogue record has a manual link. The loan QR stays bigger so the desk always scans the right one.
  • Sponsor line — "Sponsored by …" with a small logo, when the copy has an active sponsor.
  • Tag icons — up to four icons from the toy's tags in the label footer.

Sponsors

A sponsor is a local shop or business you'd like to acknowledge — no money handling, just recognition. Set them up under Settings → Sponsors (name, short blurb, logo, contact details), then pick a sponsor on a toy's Add toy or Edit details form. The acknowledgement shows on the staff toy page, on the public page members reach by scanning the toy's QR code, and (with the option above) on the printed bag label. Deactivating a sponsor hides it everywhere immediately without unassigning their toys.
