Closures, due dates & branches

What happens to loans and memberships when you close — for a day, a long weekend, or one branch only. The short version: only loans due on a day you're closed move, and they move to the next day you're open.

Moving loans for a closure

When you add a full closure under Settings → Locations & opening hours, tick Move loans due on closed days to the next open day. Leave it unticked and the closure changes no due dates at all. Special hours ("open 2–4 today instead") never move loans — you're still open.

With the box ticked:

  • A loan due on a closed day moves to the next day you're open. It isn't pushed out by the length of the closure — a family whose toy was due on day 2 of a week-long closure gets until the day you reopen, not an extra week.
  • A loan due on a day you're open keeps its date, even if the closure fell in the middle of it. The family can still bring it back on time.
  • It isn't a renewal. It doesn't use up one of the member's renewals, and doesn't count as one.

Example: you close Thursday to Saturday, and you're shut on Sundays anyway. A toy due Thursday, Friday or Saturday is now due Monday. A toy due the Wednesday before or the Tuesday after doesn't move.

If you have more than one branch

Each loan belongs to the branch it was borrowed from. Families can still return toys to any branch — this only decides whose opening days count for that loan. A loan from before you added branches belongs to your main location.

  • A closure for one branch (pick it under Applies to) moves only the loans borrowed from that branch, to the next day that branch is open. Loans from your other branches keep their dates, even if they're due the same day — those branches are open.
  • A closure for the whole library moves every loan due on the closed days, each to the next day its own branch is open.

Example — one branch: the North branch closes Monday to Wednesday for a hall booking; the main site stays open. A toy borrowed at North and due Tuesday is now due Thursday. A toy borrowed at the main site and due Tuesday is still due Tuesday.

Example — whole library: everything closes on a Friday. Your main site opens Saturdays and North doesn't. A main-site loan due that Friday moves to Saturday; a North loan due that Friday moves to Monday.

The same rule applies to every due date, not just closures. When a toy is borrowed, renewed (at the desk, in the portal, or automatically), kept to find a missing piece, or has its date corrected, the due date rolls forward past the days the branch it was borrowed from is shut. A family borrowing at a branch that doesn't open Saturdays is never given a Saturday due date, even if your main site opens that day.

Memberships

Tick Also extend active memberships and every active membership is extended by one day for each day the closure takes away — counting only days you'd have been open. Closing on a Sunday you're always shut adds nothing.

Memberships belong to the whole library, so a closure for one branch extends every member's membership, counted against that branch's opening days.

Reopening early, or deleting a closure

  • Shorten a closure (you reopened early) and the loans and memberships are worked out again for the shorter closure: loans move back to the first open day after it, and memberships lose the days you gave back.
  • Delete a closure and everything it moved goes back to its original date.

A loan or membership that has changed since is left as it is. If a family renewed, returned the toy, or you corrected the date, undoing the closure won't undo that.

Public holidays

Turn on Closed on public holidays (see Rostering & sessions) and holiday closures always move loans this way — there's no box to tick. They apply to the whole library, so each loan moves to the next day its own branch is open, jumping a whole long weekend in one step.

What a closure doesn't touch

  • Party hire bookings are never moved. When you close the whole library, you're shown any booking collected or returned on a closed day so you can contact the family.
  • Volunteer sessions on the closed days aren't cancelled for you — you're shown them and choose.
  • Your Google listing is updated separately, if you've connected it — see Show your closures on Google Maps.
