Click and collect

Families order toys that are on the shelf now from home, pick a day you're open, and collect a packed bag. Volunteers pack it from the pick list; the desk hands it over in one go.

Switch it on in Settings → Loans → Click and collect. It's off until you do.

What a family does

  1. On the Browse page, they tap Add to collection on toys that are on the shelf. A toy that other families are already queued for can't be ordered — they place a hold instead, so nobody skips the queue.
  2. They tap Choose a day, pick one of your open days (and a location, if you have more than one), and confirm. They get an email with the list.
  3. Until orders close for that day, they can add or remove toys, change the day, or cancel — from the same checkout or from their portal.

A family can have one open order at a time, of up to its full loan allowance. If they still have toys out, the confirmation tells them to bring those back when they collect: the desk applies the real limit at hand-over, as it always does.

When orders close

Orders close (hours before opening) counts back from your opening time on the chosen day. The default, 12 hours, means 10pm the night before a 10am opening. After that the order is locked and appears on the pick list to pack.

Book ahead (days) limits how far ahead a day can be chosen (7 by default). A toy in an order is set aside from the moment the order is confirmed, so a short horizon keeps toys on the shelf for everyone else.

You can also cap orders per day at each location, and toys per order.

Packing the bag

Open the pick list from the Pick list link in the loans desk's Click and collect panel, or from the dashboard's "bags to pack" line once orders for a day have closed. Each order shows its toys, with their storage location if you record one.

  • Tick each toy as Packed as it goes in the bag.
  • Use another copy if the one set aside isn't the one in your hand.
  • Not on the shelf puts the toy back as available (it shows on the next stocktake); Needs repair sends it to maintenance; Lost writes the copy off after a proper search. Either way the family sees it couldn't go in.
  • When every toy is packed or marked, press Bag is ready. The family gets an email (and a text, if you send texts) — add a note if you use lockers, such as the locker number and code.

Print pick sheets prints a summary and one half-page sheet per family, name in large type, to lay on top of each bag. Your Note on the pick sheets (for example "Please clean your toys before returning") goes at the bottom of each.

Handing it over

On the loans desk, Click and collect lists today's orders. Hand over loads the family and everything in their bag (and any holds waiting for them) into the cart. Confirm as usual — every normal check still applies. Anything they don't take goes back on the shelf; toys that were already packed show on the Reshelve list so the bag gets unpacked. If none of the bag's toys are in the cart, the hand-over is refused rather than cancelling the order — check it's the right family.

If nobody comes

An uncollected bag waits Keep an uncollected bag (open days) more open days after the chosen day (1 by default), then the toys go back on the shelf — offered first to anyone queued for them — and the family gets an email. The household page counts uncollected orders over the last year, so you can have a word if it keeps happening. There's no automatic penalty.

When plans change

  • A closure added over a day with orders lists them; move each to another open day (the family is told) or cancel it from the pick list.
  • Cancel order on the pick list asks for a reason, which the family sees.
  • Suspending or closing a household's account cancels its order and puts the toys back.
  • Switching click and collect off stops new orders and stops families changing theirs (they can still cancel). Open orders are still packed, handed over and expired as normal.
